Please refer to the Overseas Trips Terms & Conditions or Australia-Wide Retreats Terms & Conditions, depending on the trip you are booking. Each set of terms applies specifically to the trips in that category.
Overseas Retreats
Introduction
It is strongly recommended that you review these Booking Terms & Conditions thoroughly before booking your trip. By booking a retreat with She Surfs Collective, you agree to be bound by these Terms & Conditions.
She Surfs Collective reserves the right to make amendments to these Terms & Conditions at any time, and you will be bound by such changes. If you do not agree with any condition within this agreement, you should not proceed with your booking.

Privacy
Any personal information collected by She Surfs Collective will be used only for the purpose of completing your booking and managing your trip. This may include sharing information with trusted third-party providers such as accommodation partners, transport providers, or activity operators.​
Booking & Payments

At the time of booking, you will be required to pay a deposit (as specified for the retreat).

If you select an installment plan, you confirm that you will adhere to the agreed payment schedule.

Full payment is required no later than 60 days before the trip departure date (unless otherwise specified).

If any payment is not made within the agreed timeframe, She Surfs Collective reserves the right to cancel your booking.

Cancellations will be handled in line with our Cancellation Policy below.

Pricing
Trip prices are fixed at the time of booking. Once you have secured your place, no pricing changes will apply.​
Personal Details
To confirm your booking, we may require details including but not limited to: passport number, date of birth, and emergency contact information. If you fail to provide this information in the requested timeframe, your booking may be cancelled, and cancellation fees may apply.

Cancellation by the Traveller
Pending Trips (less than 8 participants booked):

If you cancel your booking at any time → full refund minus a $100 administration fee.
Confirmed Trips (8 or more participants booked):
-
Cancellation 91 days or more before departure → funds may be transferred to a future She Surfs Collective trip.

Cancellation 90 days or less before departure → non-refundable.
No refunds will be issued for failure to attend or leaving the retreat early.​
Cancellation by the Company
She Surfs Collective may cancel a trip for any reason up to 45 days prior to departure.

If cancellation is due to circumstances beyond your control, you will be entitled to a full refund or transfer to another trip.

If cancellation is due to your non-payment or failure to communicate, no refund will be provided.
She Surfs Collective accepts no responsibility for incidental costs (flights, visas, insurance, etc.) incurred as a result of cancellation.
We strongly recommend that all travellers take out travel insurance that covers cancellations.​
Force Majeure
She Surfs Collective will not be held liable for cancellations caused by events beyond our reasonable control (“Force Majeure”), including but not limited to natural disasters, war, pandemics, government restrictions, or other extraordinary events.
In such cases, refunds will not be guaranteed, and we will not be responsible for incidental expenses such as flights or visas.

Cancellation by an Operator
If a third-party operator (e.g., accommodation or tour provider) cancels services, you will be entitled to a refund of payments made for your booking with us. She Surfs Collective is not responsible for additional costs such as flights, insurance, or visas.​
Trip Status
Trips will be listed as Pending or Confirmed.

Pending trips: Not yet confirmed (require a minimum of 8 participants).

Confirmed trips: Minimum participants reached.

Trips will be confirmed no later than 30 days before departure.
It is strongly advised that you do not book flights until your trip is confirmed.​
Change of Itinerary
From time to time, itineraries may need to be adjusted.

Significant changes before departure will be communicated, and you may cancel with a full refund.

After departure, adjustments may occur due to local conditions or operator decisions. No refunds will apply for such changes.

Behaviour & Authority on Trip
If you fail to comply with directions from the trip host/operator or create an unsafe or disruptive environment, you may be asked to leave the group with no right to a refund and possible exclusion from future trips.

Acceptance of Risk
You acknowledge that surf retreats and related activities carry inherent risks. It is your responsibility to ensure that you are physically fit and capable of participating. Participation is at your own risk. You are encouraged to opt out of any activity that you feel is unsafe for you.​
Travel Insurance
Travel insurance is mandatory for all participants. Coverage must include (at a minimum):

Trip cancellation (including due to Covid-19)

Medical emergencies and personal injury

Lost or stolen belongings
We recommend a minimum coverage of USD $200,000.​
Media & Photography
By participating in a She Surfs Collective retreat, you grant permission for photographs and video taken during the trip that include you to be used by She Surfs Collective for marketing and promotional purposes, including but not limited to our website, social media, and printed materials.
If you do not wish to appear in photos or videos, it is your responsibility to inform the host prior to or at the start of the retreat.​
Age Limitations
Unless otherwise stated, participants must be 18 years or older. Minors must be accompanied by a parent or legal guardian.

Health & Fitness
It is your responsibility to ensure that you are medically fit to participate in retreat activities. She Surfs Collective will not be held liable for health-related issues, including injury or death.​
Visas & Passport
You are responsible for ensuring you meet all entry requirements, including valid passports, visas, and vaccinations. Passports must have at least 6 months’ validity beyond the final day of travel.

Governing Law
She Surfs Collective operates from NSW, Australia. By booking, you agree that Australian law applies to these Terms & Conditions, and any legal claims must be brought in Australia.

Limitation of Liability
She Surfs Collective is not liable for injury, illness, death, property loss, or any indirect or consequential damages arising from your participation in the retreat.
Our liability is strictly limited to the total amount paid by you for the retreat booking.

Severability
If any part of this Agreement is found unenforceable, the remainder will remain in effect.

Changes to this Agreement
She Surfs Collective reserves the right to update these Terms & Conditions at any time. Updates will be effective once published on our website or otherwise communicated.
Australia Retreats
1. Introduction
Welcome to She Surfs Collective. By accessing or using our services, you agree to comply with and be bound by these terms and conditions. If you do not agree, please refrain from using our services.

2. Services
She Surfs Collective provides surf retreats and related services designed for women. Our offerings may include surf lessons, accommodation, transport, and additional activities.
​
3. Booking and Payment
To secure your spot in our retreats, a deposit is required at the time of booking.
Full payment is due 30 days before the retreat starts.
We will send email reminders closer to the due date with instructions for completing the balance payment.
Failure to pay by the balance due date may result in cancellation of your booking, and all payments made (including the deposit) will be forfeited.
If needed, you may request to transfer your booking to another trip within the same calendar year, subject to availability.

4. Booking Changes & Rebookings

Rebooking to another retreat date is possible up to 45 days prior to the retreat start.

A $100 admin fee applies to all rebookings.

Rebookings are allowed a maximum of two times.
-
Any rebooking is subject to availability.

If the new retreat is priced higher than your original booking, the price difference must be paid by you.
-
Rebookings are only confirmed once payment (including any difference in price) is completed.

5. Replacements & Refunds (If You Cannot Attend)
If you are unable to attend your retreat:
-
Full refund at any time (deposit + any payments made) minus a $100 admin fee, if you find a replacement for your spot.

You may organise your own replacement at any time, and doing so is your responsibility to qualify for a refund or date transfer.

We will also try to help you find someone to take your spot, however:

The less notice we receive, the harder it becomes to re-book the spot.

While we often have waiting lists, our ability to re-sell your spot cannot be guaranteed.

If no replacement is found, the standard cancellation policy (Section 6) applies.

6. Standard Cancellation Policy (If No Replacement Is Found)

Cancellations more than 60 days before the retreat: 75% refund of the tour price.

Cancellations 30–60 days before the retreat: 50% refund.
-
Cancellations less than 30 days before the retreat: no refund.
-
All cancellations must be submitted in writing.

7. Minimum Group Size
A minimum number of participants is required to run this tour/retreat.
The operator reserves the right to cancel the tour/retreat if the minimum number of travelers is not met.

8. Cancellation by the Operator
If the minimum group size is not reached, the operator may cancel the tour/retreat.
In the event of a cancellation due to insufficient participants, all payments made by travelers will be refunded in full.
The operator will not be liable for any additional expenses incurred by participants, such as airfare or accommodation booked independently.

9. Notice of Cancellation
The operator will notify participants as soon as possible if the minimum traveler number is not met and the tour/retreat is being canceled.

10. Liability Waiver
Participation in surf activities carries inherent risks. By participating, you acknowledge and accept these risks. She Surfs Collective is not liable for any injuries, losses, or damages incurred during the retreats.

11. Photo Release
Participants consent to having their photos taken during the retreat for promotional purposes. These images may be used on our website, social media platforms, and other marketing materials. If you do not wish to have your photo used, please notify us in writing before the retreat.

12. Code of Conduct
We expect all participants to behave respectfully towards others and the environment. Disruptive behavior may result in removal from the retreat without a refund.

13. Changes to Terms
She Surfs Collective reserves the right to modify these terms and conditions at any time. Changes will be effective immediately upon posting on our website.
